Student records

What the school keeps about a student, how long it is kept, and who may see it.

The school keeps an academic record for every student. It holds the student's name, date of birth, the grade level they entered, the coursework completed with the grade awarded for each course, the credits earned, the examination result, and the date any diploma or transcript was issued.

Academic records are kept permanently. A school that discards a record after a few years cannot issue a transcript for an adult who needs one, and the whole purpose of the record is that it is still there years later. Registration and payment details are kept for as long as the account is active and for the period required for tax and accounting purposes.

The record may be seen by the school office, by the student themselves, and by a parent or guardian of a student who is under eighteen. It is not sold, and it is not given to anybody else except with the written consent of the student or their parent, or where the law requires it. A college, an employer or another school that asks for a transcript is given one only at the request of the student.

A student or parent may ask to see the record. The office will answer within a reasonable time and will correct anything that is wrong. To ask, write to the school office at the address on the contact page.
